Workflows:
With the help of Power Automate flows, companies can reduce unnecessary interactions between people in the execution of business processes and automate the execution of process steps. For example, groups that need to come to a decision (e.g. in an approval process) usually perform a series of steps. These can be formal steps, standard working procedures or informal steps in the sense of an implicitly understood working method. Together, these steps represent a business process. The extent of the interactions between people in a business process can affect the speed and quality of decisions (e.g. through misunderstandings and loss of information).
Using software that simplifies and manages this “human workflow”, the interactions between the groups involved in a process can be automated. This automation leads to an acceleration of the interactions, an improvement of their general effectiveness and often a reduction of errors.

Power Automate
With Power Automate, any business processes that occur in day-to-day business can be supported – for example, a document can be forwarded for review using a workflow, a problem can be tracked through the various phases of the solution, or a contract can be guided through an approval process. The definition of a flow is done without code with the Power Automate Designer, with which business processes of any complexity can be modelled. In order for a business process to be effective, it must be integrated with the familiar tools and applications used in the workplaces every day, so that it becomes part of the daily workflow of the process participants. In the electronic workplace, this includes integration with e-mail, calendars, task lists and collaboration websites.

Common business processes, which can be supported by a Power Automate flow

  • Contract Approval: Routing a draft contract to the members of an organization who need to approve or reject the contract.
  • Expense Reports: Manage the submission of an expense report and related receipts, review the statement, approve the statement, and reimburse the applicant for expenses.
  • Technical support: Handling of technical support processes from a customer inquiry to the investigation by a support employee and forwarding to technical experts to the solution and documentation in a knowledge database.
  • Workforce Planning: Manage the hiring process for new employees. This includes planning and monitoring appointments for interviews, documenting the results of the interview and forwarding them to the appropriate decision-makers to facilitate the decision on whether or not to be hired.
  • Content Publishing: Manage approval for the publication of content on a company’s Internet website.
  • Vacation Request: Manage vacation request approval
  • Improvement suggestion: manage the acceptance of improvement suggestions
  • Material requirement: Manage the approval of material requirements – with process variants depending on the level of costs. For example, a 4-eye process can be sufficient for smaller investment amounts, while a 6-eye workflow is used for larger amounts.
